One-page service proposal template

In a service proposal, the client takes nothing home: they are buying a routine. So the proposal needs to show how the service happens, how often, what is included and how quickly you respond when something goes wrong.

Below is a complete example to copy the structure, and what must not be missing. To write yours with your own details, use the business proposal generator.

What must not be missing

  • Frequency and what happens on each visit
  • What is not included
  • Response time in writing
  • Monthly or per-job price, never mixed

Pure Air Climate Control

Business proposal

To: Fernando Teixeira, from Teixeira & Lopes Law Firm

Preventive maintenance for the office air conditioning

1Context

The office has 14 split air conditioners and, as you told us, maintenance today only happens when one of them breaks down. Last summer, two meeting rooms had no cooling for an entire week, right in the middle of hearing season.

2Solution

We take over preventive maintenance with monthly visits on Saturdays, outside office hours, and a report on every unit. If something stops working between visits, we respond within one business day.

3Deliverables

  • Monthly visit with filter cleaning and a check of all 14 units
  • Full sanitization every three months
  • A report for each visit, with the condition of every unit
  • Service calls handled within one business day, with no travel fee

4Investment

R$ 1,260 per month (R$ 90 per unit), paid by bank slip by the 10th. Parts are quoted separately and only replaced with your approval.

5Timeline

12-month contract, with the first visit on the Saturday after signing. It can be canceled with 30 days' notice.

6Next step

Let me know by the 25th which Saturday of the month works best for the visits, and I will send the contract for digital signature.

How to write a services proposal

1

State the frequency and what happens on each visit

"Monthly maintenance" is vague. "Monthly visit with filter cleaning and a check of every unit" is something the client can verify.

2

Write down what is not included

Parts, materials, travel outside the city, night calls. What is left out, in writing in the proposal, does not become an argument on the first invoice.

3

Promise a response time you can keep

How fast you handle a call: the same day, within one business day, within 48 hours. It is the item that weighs most for anyone who has suffered with a supplier who disappeared.

4

Monthly or per-job price, never both mixed

Choose the billing unit and show the math when it helps (price per unit, per square meter, per hour). If there is an annual adjustment, say which index it follows.

5

Agree on how it starts

The date of the first visit, who the contact is on the client's side and how they open a service call. A service that starts well gets renewed.

Frequently asked questions

What should a service proposal include?

The client's problem, how the service works, the list of what is included (and what is not), the response time, the price with payment terms, the contract length and the next step.

Does a service proposal need a contract?

For an ongoing service, yes: the proposal summarizes the offer and leads to a decision; the contract details obligations, penalties and termination. Many companies send the proposal first and the contract after the go-ahead.

Need more people to send proposals to?

In an online business round you have several short meetings in one afternoon, with companies looking for what you offer. Your company's first round is on us, with just your CNPJ (Brazilian company tax ID).
