How to write a business proposal the client actually reads

A business proposal is the document that turns a good conversation into a decision. It tells the client what you understood about their problem, what you will deliver, how much it costs, how long it takes and what they need to do to get started. When any of these answers is missing, the decision stalls, and the proposal is forgotten in the inbox.

The structure that works has six blocks, always in the same order. Start with the context, told in the words the client used in the meeting: anyone who recognizes themselves in the first sentence reads the rest. Then comes the solution, in two or three sentences, and the list of what will be delivered, item by item. After that, the investment with payment terms, the timeline and a single next step, with a date.

Notice what is left out: the company's history, the mission, the client list, the adjectives. Not because they do not matter, but because they do not help the client decide, and every paragraph that does not help pushes away the price and the timeline, which are what they look for first. If they want to know more about you, they will ask, and that question is already a good sign.

Why a single page

At small and mid-sized companies, the person who decides the purchase is usually the owner or a partner, who reads between meetings, often on a phone. A long proposal gets put off, and later becomes never. One page forces you to cut what does not lead to a decision, can be read in a few minutes and forwarded to a partner or to finance without explanation. Technical details, the contract and the portfolio can go as attachments: the proposal is the decision, the attachment is the reference.

The generator above follows these rules: it writes up to 350 words, keeps the price exactly as you entered it, never replaces it with "price on request" and closes with a single request. If you do not know yet how much to charge, start with the pricing calculator; the suggested price comes here in one click. Anyone who organizes contacts in the Follow-up Planner creates the proposal straight from the card, with the client's name and what they are looking for already filled in, and the card moves to the Proposal column when the link is created.

The six blocks of a good proposal

  1. 1Context

The problem, in the client's words. If they recognize themselves in the first sentence, they read the rest.

  2. 2Solution

How you solve that problem, in two or three sentences. Without the company's history.

  3. 3Deliverables

What the client receives, item by item. This is what prevents scope arguments later.

  4. 4Investment

The price and payment terms, in writing and in plain sight. Never "price on request".

  5. 5Timeline

When it starts and when it ends, or how long each delivery takes.

  6. 6Next step

One action, with a date: give the go-ahead, sign, book the kickoff meeting.

One-page business proposal example

A complete proposal, in the format the generator delivers. The company and the client are fictional: a small software company proposes to organize the inventory of two auto parts stores.

  • The context repeats what the client said, including the Saturday lost to the stock count.
  • The deliverables are things she can check: installation, scanners, training, support.
  • The investment shows setup and monthly fee, with the installments, no fine print.
  • The next step is a single one and has a date.

Easy Stock Systems

Business proposal

To: Renata Siqueira, from Siqueira Auto Parts

Inventory for both stores in a single system

1Context

Today the two Siqueira Auto Parts stores track inventory in separate spreadsheets. As you told us, it is common to sell a part that has already run out and only find out when picking the order, and the month-end stock count takes the team a whole Saturday.

2Solution

We will set up Easy Stock in both stores, importing the parts catalog from your current spreadsheets and adding barcode scanning at the counter. Stock is updated with every sale, and each store can see the other's balance before promising a part to a customer.

3Deliverables

  • Import and review of the parts catalog from both spreadsheets
  • Installation on the four counter computers and in the office
  • Two barcode scanners configured
  • A two-hour training session for each store's team
  • WhatsApp support during business hours for the first 60 days

4Investment

Setup of R$ 3,900, in two installments of R$ 1,950 (on signing and on delivery). Monthly fee of R$ 390 for both stores from the second month, with no minimum term.

5Timeline

Three weeks from approval: the first for the catalog, the second for installation and training, the third with both stores already using the system.

6Next step

If this works for you, reply to this email with your approval by the 30th. The catalog import will then start the following week.

Common mistakes in business proposals

The six that delay an answer the most. Almost all of them have the same root: writing the proposal from the seller's point of view, not the decision maker's.

Starting with yourself

Mission, history and awards in the first paragraph. The client first wants to know whether you understood their problem.

Hiding the price

"Price on request" or an amount lost at the end of the document turns into one more email exchange, if not silence.

Vague scope

"Full consulting" does not say what will be delivered. List the items: the reader needs to know what they will receive.

Several requests at the end

Call, schedule, see the portfolio and follow us on social media: with four requests, the client does none.

Adjectives instead of facts

Excellence and innovative solutions say nothing. Say what you do, how long it takes and how much it costs.

Send and wait

A proposal without a reply date gets put off. Agree on the next step and follow up on the agreed day.

The last mistake is the most expensive: a proposal sent with no agreed follow-up. After sending it, use the follow-up message generator to pick up the conversation on the right day, with a message that mentions the proposal and makes a single request.

Frequently asked questions

How do I write a simple business proposal?

Write six short blocks, in this order: the client's problem, how you solve it, what you will deliver, how much it costs, how long it takes and what the next step is. If it fits on one page, it is the right length.

What must a business proposal include?

Price, timeline, the list of what will be delivered and a next step with a date. Without any of them, the client has to come back and ask, and the decision gets postponed.

Does a business proposal have to be one page?

It is not a rule, but it helps a lot. Decision makers at small and mid-sized companies usually read between meetings. Technical details, the contract and the portfolio can go as attachments; the proposal is the part that leads to the decision.

Can I write "price on request"?

Not in the proposal. Its whole purpose is to say how much it costs. The generator keeps the price exactly as you entered it and never replaces it with "price on request".

How do I save the proposal as a PDF?

Click "Print or save as PDF" and choose "Save as PDF" as the print destination. The proposal comes out on an A4 page, with your company name prominently at the top.

How does the client link work?

With a free account, you create a link valid for 30 days. It shows only the proposal, with no other data of yours, and records when the client opened it, with no third-party tracking. Your own visits to the link do not count.

Do I need to sign up?

No. The proposal appears on screen without signing up, up to 3 per hour. With a free account, you generate more proposals per hour, create the client link and keep a history of the proposals you sent.

What happens to what I type?

The text goes to the artificial intelligence service that writes the proposal and is not stored. The proposal is only saved to your account when you create a link, so the client can open it.

Need more people to send proposals to?

In an online business round you have several short meetings in one afternoon, with companies looking for what you offer. Your company's first round is on us, with just your CNPJ (Brazilian company tax ID).
