Product supply proposal template

Anyone buying products for their own company compares proposals side by side. The winner is the one that answers the usual questions without a phone call: exactly which product it is, how much the unit and the order cost, who pays for freight, when it arrives and how long the price is valid.

Below is a complete supply proposal example and what must not be missing. To write yours, use the business proposal generator.

What must not be missing

  • A specification the buyer can check
  • Unit price and order price
  • Freight in writing: CIF or FOB
  • Price validity

Southern Corrugated Packaging

Business proposal

To: Patricia Gomes, from Sierra Sweets Foods

Monthly supply of boxes for jarred desserts

1Context

Sierra Sweets ships about 6,000 jars of dessert a month and, as you told us, the current boxes arrive in different sizes from one batch to the next. That jams the packing line and has already caused breakage in transit.

2Solution

We supply custom corrugated cardboard boxes for the 400 g jars, with dividers, made with an exclusive cutting die. Every batch leaves with its size checked, and we keep one month of safety stock at our plant.

3Deliverables

  • 500 boxes per month, holding 12 jars each, with dividers
  • Exclusive cutting die, at no extra cost
  • Sample for testing on your line before the first order
  • Delivery every two weeks to your plant, freight paid by us (CIF)
  • One month of safety stock reserved for Sierra Sweets

4Investment

R$ 4.20 per box, or R$ 2,100 per month for 500 boxes. Payment 28 days after each delivery. Price valid for 90 days from this proposal.

5Timeline

Sample within 7 business days of approval. First delivery 15 days after the sample is approved.

6Next step

Send me the delivery address for the sample and the name of the person who will test it on the line, and sample production starts the same day.

How to write a supply proposal

1

Specify it the way the buyer will check it

Size, material, color, quantity per package. This is the specification receiving uses to accept or return the batch.

2

Show the unit price and the order price

The buyer compares per unit and approves by the total. If there is a minimum quantity or a volume discount, say where each tier starts.

3

Write down who pays for freight

CIF means freight is paid by the seller; FOB, by the buyer. One line that prevents most surprises on the first invoice.

4

Give the price a validity date

Raw material prices change. A validity of 30, 60 or 90 days protects you and shows the client that the decision has a deadline.

5

Offer a sample or a pilot batch

For anyone switching suppliers, the risk is the first delivery. A sample tested on the client's line is usually worth more than any argument.

Frequently asked questions

What do CIF and FOB mean in a supply proposal?

They are the two most common ways of saying who pays for freight. With CIF, the seller delivers the product to the client with freight included in the price. With FOB, the client pays for freight or picks up the goods.

How long should the proposal price be valid?

It depends on how much your costs vary. Products with volatile raw materials call for a short validity, 15 or 30 days; more stable ones can hold for 60 or 90. What matters is having the validity in writing.
