Follow-up templates

WhatsApp follow-up message: templates and free tool

WhatsApp is where many business conversations continue after the meeting. It is fast and direct, which is exactly why it is easy to get wrong: a message that is too long, has no context or arrives at the wrong time.

Below you will find the format that works, what to avoid and five ready-made templates. To write yours with the context of your own conversation, use the generator.

How to write it

Format

The message is read on a phone, in between other chats. Write it in two short blocks: in the first, who you are and one detail from the conversation; in the second, the request. If the person has not saved your number yet, your name and your company must be in the first line, or the message looks like it came from a stranger.

Send voice notes only if the person has already sent you one. Catalogs and PDF presentations can wait until the first reply: in a first contact, an attachment without context is more weight than help.

Length

The generator writes WhatsApp messages of up to 60 words, which fit on the screen without scrolling and keep the request in sight. If the topic needs more explanation, it calls for a call or an email, and WhatsApp is the place to schedule that conversation.

Timing

On the day of the meeting or the next morning, during business hours. A business message late at night or on a Sunday sends the wrong signal, even if the person only reads it on Monday.

If there is no reply, wait about a week for the second message. It should be shorter than the first and bring something new.

What to avoid

  • Opening with "Hi, how are you?" and waiting for a reply before saying what it is about.
  • Sending the same message to several people from the round, changing only the name.
  • Asking two or three questions in the same message.
  • Sending a long voice note to someone you met a few hours ago.
  • Chasing with "did you see my message?" in the second contact.

After an online business round

On the day of the round, to someone who marked interest in you.

Hi Beatrice, it's Henry from Right Route Freight. We spoke today at the business round about split deliveries to towns upstate.

Can I send you a freight quote for the three routes you mentioned? Or we could talk for 15 minutes tomorrow, at 9 am or 2 pm.

To schedule a site visit

When the next step is seeing the problem up close.

Hi Gus, Fern from Northern Climate here. You mentioned the air conditioner in your office reception has been dripping since summer.

I can send a technician to take a look this week. Would Wednesday morning or Thursday afternoon suit you better?

To send the material you promised

When the person asked for a catalog or a sample during the conversation.

Hi Ralph, Lucy from Good Bean Roasters. As we agreed at the round, I just emailed you our catalog of coffee for offices.

For your team kitchen, I would suggest the whole bean pack. Shall I bring a sample on Friday?

Second message, a week later

When the first message got no reply.

Hi Beatrice, Henry from Right Route again. I finished the quote for the upstate routes, and the cheapest one turned out to be the northern loop.

Shall I send it here, or would you rather get it by email?

To introduce someone

When you know who can solve what the person is looking for.

Hi Sonia, it's Diego from Fiscal Point Accounting. At the round you said you are looking for someone to build the new website for your store.

Carla from Lume Studio built the sites of two of my clients, and they were happy with the result. Shall I start a group with the two of you?

Write yours from your own conversation

Tell us who you spoke with and what the next step is. The generator writes the message for WhatsApp, LinkedIn or email, suggests when to send it and drafts the second message too. Free, no sign-up.

Frequently asked questions

Can I follow up on WhatsApp with someone I met at a business meeting?

Yes, if the person gave you their number or agreed to talk there. In the platform's business rounds, contact details are only shared when both sides mark interest, so the contact already comes with permission to talk. For people you do not know, WhatsApp is not the first channel.

How many words should a WhatsApp follow-up have?

Up to about 60 words, in two short blocks. That is the limit the generator uses: it fits on a phone screen without scrolling and keeps the request visible. Anything longer works better as a call or an email.

Is it better to send a voice note or text in a follow-up?

Text, in the first contact. It can be read in a meeting, in traffic or in silence, and it is easy to find later. A voice note makes sense when the person already talks to you that way.

What if the person reads it and does not reply?

Wait about a week and send a shorter second message with something new: useful information, an easier question or another time option. If there is still no reply, leave the door open in one line and move on. See also how to follow up without being pushy.

Need people to follow up with?

In an online business round you have several short meetings in one afternoon, with companies looking for what you offer. Your company's first round is on us, with just your CNPJ (Brazilian company tax ID).
