Message after a business meeting: templates and free tool

Every good meeting ends with the feeling that things will work out. What decides whether they really do is the message the next day: it turns the conversation into a next step with a date, or leaves everything at "let's keep in touch".

See what to write, on which channel, when to send it and five templates for the most common situations after a meeting.

How to write it

What to write

The message after the meeting has a single job: turning what was discussed into a next step with a date. It says thank you in one line, sums up what you understood, confirms what each side agreed to do and proposes the following step.

The summary also protects both sides: if you misunderstood something, the person corrects it now, not after the proposal is ready.

The channel

Use the channel the meeting was booked through or the one the person suggested. A meeting arranged on WhatsApp calls for a short WhatsApp follow-up. A formal meeting, with more people from the company, calls for an email with the summary, which can be forwarded internally.

When in doubt, send the summary by email and a short heads-up on WhatsApp.

The timing

Within 24 hours, while the details are fresh for both sides. If the meeting was in the morning, the end of the day is already a good time.

After a week it is still worth writing: acknowledge the delay in one line, without a paragraph of apologies, and get to the point.

What to avoid

  • Sending only "It was a pleasure, let's keep in touch", with no concrete step.
  • Summarizing the whole meeting instead of what matters for the decision.
  • Recording as agreed a deadline the other company did not accept.
  • Forgetting what you yourself promised to send.
  • Leaving the date of the next step open.

Subject: Our meeting today: what we agreed

Hello Vanessa,

Thank you for your time today. As I understood it, the goal is to cut order picking time at your warehouse before the year-end peak.

Here is what we agreed: you send me the warehouse floor plan by Wednesday, and I come back the following Monday with the shelving layout and the installation timeline.

If anything differs from what you understood, just let me know here.

Best regards,

Andrew Figueira, Agile Storage Structures

Quick confirmation

On WhatsApp, when the meeting already ended with a date set.

Hi Joanna, it's Kyle from Green Life Landscaping. Thank you for today's meeting at your headquarters.

So it's agreed: I send the entrance garden design by Friday, and we review it together on Tuesday at 10 am. Confirmed?

When someone else decides

When you spoke with the person who recommends, not the one who approves.

Hi Otto, Livia from Strong Signal Telecom. I enjoyed today's conversation about the network for your new plant.

You mentioned the final decision is up to the finance director. Shall I prepare a one-page summary, with cost and timeline, for you to take to her?

When the meeting did not move forward

When it became clear that now is not the right time.

Hi Helen, Roger from Trail Systems. Thank you for today's candid conversation.

I understand that a system change does not fit this semester's budget. May I get back to you in March, when you close the annual plan?

After a partnership meeting

When the conversation was about referring clients to each other.

Hi Bruno, Elisa from Digital Map. I left our conversation about referring clients to each other feeling energized.

To start, how about we each list three clients who need the other's service and swap lists on Thursday?

Write yours from your own conversation

Tell us who you spoke with and what the next step is. The generator writes the message for WhatsApp, LinkedIn or email, suggests when to send it and drafts the second message too. Free, no sign-up.

Frequently asked questions

How soon after the meeting should I send the message?

Within 24 hours. The same day is even better, especially if the meeting was in the morning. After that, the conversation starts to blur with others in the person's memory.

What should I write in the message after the meeting?

A short thank you, a summary of what you understood, what each side agreed to do and the next step with a date. If there is room for only one thing, make it the next step.

Do I need to send meeting minutes?

For a short sales conversation, no. A summary of three or four lines does the same job and actually gets read. Formal minutes make sense in long meetings, with several people and decisions that need to be on record.

What if the meeting ended without a next step?

Propose one in the message: a 20-minute call with the decision maker, sending some information or a visit. If it became clear that the timing is wrong, ask when it would make sense to talk again and note the date.

Need people to follow up with?

In an online business round you have several short meetings in one afternoon, with companies looking for what you offer. Your company's first round is on us, with just your CNPJ (Brazilian company tax ID).
