Buyers read dozens of replies a week and decide in seconds who is worth talking to. Getting chosen does not depend on having the lowest price, but on showing, in a few lines, that you understood the request and can deliver. This guide shows how to read a quote request, how to write a reply that stands out and how to come prepared to the conversation. To organize the commercial side before replying, use the sales proposal generator and keep price, lead time and terms at hand.

Read the request twice before replying

The most common mistake is replying to the title and ignoring the rest. Before writing, check five points:

  1. Quantity and recurrence: can you handle this volume, at this frequency, without delaying your other clients?
  2. Budget range: does your price fit? If not, is there a simpler version that does?
  3. Region: do you deliver or work where the buyer is?
  4. Decision deadline: someone deciding in 7 days needs a reply today.
  5. Requirements: invoice, sample, technical visit, certification, payment terms.

If two of these points do not match, do not reply. A reply outside the profile wastes the buyer's time and your reputation.

Reply early

The first replies are read more carefully, and many quote requests have a reply limit. On Verified Quotes at RodadaDeNegocios.org, each quote receives at most 15 replies and stays open for 7 days. Paid subscribers are notified of a matching quote as soon as it is published, which makes a difference when the buyer is in a hurry.

The format of a good reply

Long replies are not read. The format that works has short, fixed parts, the same for every supplier, which lets the buyer compare:

  • I can deliver because: one or two sentences that link what you do to what they asked for.
  • Price or range: a number or an honest range. If it depends on details, say which ones.
  • Lead time: when you deliver or start, counting from the order.
  • Differentiator: one concrete thing the buyer can check.
  • Reference: a similar client you serve or have served.

"I can deliver because": what to write

Compare two versions for the request of 2,000 cardboard boxes per month in Santa Catarina:

WeakStrong
We are a leading packaging solutions company focused on excellence and quality. We make custom boxes in Joinville, with in-house printing, and already deliver 3,000 boxes per month to online stores.

The strong version says where you are, what you do and proves capacity with a number. The weak one could have been written by any competitor. On Verified Quotes, you can ask the platform to suggest this part based on your profile, but read and adjust it: the suggestion uses only what your profile says, and you are the one who knows your company.

A differentiator that can be checked

"Personalized service" sets no one apart. "Sample in 5 business days", "invoice with the ICMS credit itemized" or "a technician certified in NR-10 on every visit" do, because the buyer can hold you to them.

Keep contact details out of the reply

A phone number, email, website or social profile in the reply looks like a shortcut, but it takes the conversation away from where it is scheduled and recorded. On Verified Quotes, these details are not accepted in the text. Contact details are released after the conversation, when both sides confirm they want to continue. Before that, you do not know who the buyer is either: you only see a description such as "retail company in Joinville (SC)".

Propose three time slots you will keep

Each reply includes three time slots for a 20-minute video conversation. The buyer picks one or suggests others. A few practical rules:

  • spread the slots across different days and times of day, to raise the chance that one works;
  • do not propose a slot you might not be able to keep;
  • leave at least one day of margin, so the buyer has time to choose.

Missing a scheduled conversation counts. Attendance at conversations is shown to the buyer as a trust signal, and two no-shows within 90 days suspend the account for 30 days.

Regulated professions: declare your registration

In health, pharmaceuticals, law, accounting, financial services and insurance, the reply asks for your professional registration. The platform shows the declaration to the buyer but does not verify it with the professional council. Enter the correct number: a careful buyer will check.

What the buyer sees next to your reply

Besides the text, the buyer sees signals you build over time: how long you usually take to reply, how many conversations you have held, the date your CNPJ was verified and your attendance at scheduled conversations. There are no ratings or stars. That is why replying quickly and showing up are worth more than any catchy phrase.

After sending

You can edit your reply while the buyer has not opened it. After that, it stays as it is. In your list, the reply shows as sent, conversation scheduled or no reply. "No reply" is not an explicit rejection: the buyer simply moved on with other companies, and you do not need to insist.

If the buyer attached drawings or spreadsheets, they become available to you after you reply. The scheduled conversation appears in your Planner, so you can track it like any other opportunity.

In the 20-minute conversation

Twenty minutes go by fast. Arrive having reread the request, with three questions ready: what led the company to look for a supplier now, what went wrong with the previous supplier and how it will decide. Talk less about yourself and more about their problem. End with a concrete next step: a sample, a visit, a formal proposal with a date.

If both want to continue, contact details are released and the negotiation continues between the companies. When the deal happens, record it on the platform: a deal confirmed by both sides helps your reputation in future quotes.

Who can reply

Replying to quotes requires an active CNPJ, a complete business profile and a paid plan. A free account sees a summary of the quotes that match its sector and region, without being able to reply. Each conversation scheduled through a quote uses one of your plan's conversations for the month.

Summary

Read the whole request and only reply to what you can deliver. Reply early, in the short format, with a differentiator that can be checked. Keep contact details out of the text. Propose three time slots you will keep, show up and arrive at the conversation with questions. The reputation that counts is the one the buyer sees next to your reply.
